About the Role:
We are looking for a proactive and detail-oriented professional to manage our Noida office workplace and operations. This is a one year contract, 100% on-site role requiring physical presence in the office 5 days a week. The ideal candidate will spend approximately 70% of their time on Office Administration, Facilities, and IT Operations support, and 30% on HR Operations and Employee Engagement. You will be the face of our Noida office, ensuring a seamless work environment and a vibrant employee culture.
What you will do:
1. Office Administration, Facilities & IT Ops
- Facility Management: Manage daily administrative activities for the Noida office. Ensure the facility is well-maintained, hygienic, and meets health & safety standards; with additional support for the Bangalore office as needed.
- Vendor & Inventory Management: Oversee office supplies, pantry stock, and housekeeping. Manage vendor relationships, negotiate contracts, and ensure timely invoice processing/payments.
- IT Operations Support: Act as the on-ground point of contact for IT assets. Manage the physical inventory of laptops and accessories, coordinate repairs with vendors, and assist the central IT team with asset allocation during onboarding/offboarding.
- Hospitality: Manage hospitality for all office visitors and guests. Coordinate and execute company events, celebrations, and team gatherings in collaboration with the People Team.
- Food & Beverage: Coordinate food and beverage arrangements and manage general office upkeep.
2. HR Operations & Employee Engagement
- Employee Lifecycle Management: Support end-to-end onboarding and offboarding logistics (ID cards, desk setup, welcome kits, asset collection).
- Employee Engagement: Conceptualise and execute on-site engagement initiatives to boost morale. This includes organizing events on a monthly basis; helping with team lunches, festival celebrations, and town halls in collaboration with the People Team.
- HR Operations: Maintain accurate employee records/databases and assist in preparing employment-related letters.
- Respond to and resolve employee queries related to facilities and administrative matters.
What we are looking for:
- Bachelor's degree or equivalent practical experience.
- 3 to 5 years of experience in Facility Management & HR with a focus on facilities, hospitality, corporate services, and property management.
- Proven ability to multitask, prioritise, and manage projects in an extremely fast-paced environment.
- Good communication skills
- Detail-oriented
- Experience using MS Office suite is a must (Word, Outlook, PowerPoint).
- Ability to interact with all levels of the organisation in a professional manner.
